Quality Policy

Mint Factory recognises that the maintenance of defined quality standards in all aspects of performance is critical to our success. We are dedicated to this Quality Policy that will ensure all services fully meet the requirements of our customers at all times. The goal of this company is to achieve a high level of customer satisfaction at all times. We are committed to comply with regulatory bodies, and to maximise the effectiveness of the business.

Our definition of quality is “meeting our customers’ requirements and enhancing customer satisfaction” by regular review of our quality system by senior management. We will carefully specify the requirements for both our suppliers and our processes, which continually satisfy all applicable legal and regulatory requirements in all respect of quality cost, performance, safety and reliability.

We work continually with all stakeholders to respond to the changing nature of the industry that we operate in and will continually challenge the way in which we operate to ensure we remain at the forefront of our industry. We will invest as appropriate in both equipment and people to provide our customers with a cost effective solution to all their requirements.

Our people are our strength and their continuing development is the duty of management at all levels. All personnel have the authority to work within the scope of their responsibilities. We will ensure that every member of staff recognises their responsibility for quality management.

Our Quality Policy places significant emphasis on the following:

  • Customer focus-all systems and procedures will be designed to ensure that customer requirements will be fully understood and satisfied.
  • Supplier relationships-we strive to achieve a partnering approach with all suppliers to obtain defect free products and services. By continuing to improve the ways we treat our customers, employees and vendors we will contribute to the mutual business and personal success of all.
  • Continuous improvement-achievement of this required quality standard is a core responsibility of every employee. Each member of staff is given the opportunity to contribute to the continuous improvement programme.
  • Processes and systems-all quality management activities will be planned and based upon minimising risk and eliminating errors.
  • Training and development-we will develop our employee’s skills and increase their contribution through effective leadership, motivation and training.
  • SMART objectives-we will establish and communicate meaningful quality objectives and performance targets (KPI’s) to all staff and drive continuous improvement.

Every employee is charged with the responsibility to meet customer requirements and continually improve the quality in keeping with our objectives. Employee development through involvement, training and effective communications is essential in maintaining satisfaction of its customers.

Ethical Trading Policy

The Company is committed to operate all activities within the spirit and letter of all laws and regulations affecting its businesses and employees. Employees must exercise the highest level of integrity, ethics, and objectivity in their actions and relationships which may affect the Company. Employees must not misuse their authority or influence of their positions in these relationships. Moreover, an employee has the duty to act in the best interest of the company at all times.

The principles adopted by Mint Factory in this policy document are based on the International accepted standards set out in the Ethical Trading Initiative (ETI) Base Code of Labor Standards.

Mint Factory will, as far as is reasonably practicable, ensure that they and their suppliers and their sub-contractors, comply with the stated policy requirements.

  • Employment is freely chosen. There is no forced, bonded or involuntary prison labor. Workers are not required to leave deposits or their identity papers with their employer and are free to leave their employer after a reasonable notice.
  • Working Conditions Are Safe and Hygienic. A safe and hygienic working environment shall be provided. Adequate steps shall be taken to prevent accidents and injury to health arising out of, associated with or occurring in the course of work. Workers shall receive appropriate health and safety training, and such training shall be repeated for new or reassigned workers. Accommodation, where provided, shall be clean, safe and meet the basic needs of the workers.
  • Child Labor Shall not be Used. There shall be no use of child labor which shall be exploitative or shall jeopardize the health, safety, educational development or morals of any child. Persons under 18 shall not be employed to work at night or in hazardous conditions, and as a minimum meet National legal Standards.
  • Living Wages Are Paid. Wages and benefits paid for a standard working week must meet; at a minimum, National legal Standards or Industry benchmark Standards, whichever is higher. All workers shall be provided with written and understandable information about their employment conditions in respect to wages before they enter employment and about the particulars of their wages for the pay period concerned each time that they are paid.
  • Working hours are not excessive. Working hours comply with national laws and known benchmark industry standards.
  • No Discrimination Is Practiced. There shall be no discrimination in hiring, compensation, access to training, promotion, termination or retirement based on race, caste, national origin, religion, age, disability, gender, marital status, sexual orientation, or political affiliation.
  • No Harsh Or Inhumane Treatment Is Allowed. Physical abuse or discipline, the threat of physical abuse, sexual or other harassment and verbal abuse or other forms of intimidation shall be prohibited.
  • No bribery or corruption is permitted. No bribes shall be paid or accepted to give or receive business.
  • Follow good environmental practice. To meet all relevant national and international environmental laws and regulations and to continuously improve environmental practice.

Diversity and Equality Policy

Mint Factory fully supports the principle of equal opportunity in employment and opposes any kind of unfair or illegal discrimination on the basis of colour, race, nationality, ethnic background, language, religion, sex, age, marital status, sexuality or disability.

  • We will do everything possible to ensure that individuals are treated in a fair and equal manner and that decisions regarding recruitment, selection, training, promotion and career development are based solely on merit and ability, connected to the job.
  • Employees and sub-contractors have personal responsibility for the practical application of the Company’s Diversity and Equality Policy, which also extends to members of the public.
  • Mint Factory will aim to ensure that no direct or indirect discrimination occurs within the Company, and that all decisions regarding employment, to include details of applicants and the current workforce, will be monitored regularly. Any instances where it appears that equal opportunities are not provided, the circumstances will be investigated and immediate steps taken to improve the situation.
  • The Company’s Grievance Procedure is available to any employee who believes that he or she may have been unfairly discriminated against.
  • Any employee or sub-contractor who is found to have committed an act of unlawful discrimination will face disciplinary procedures. Discriminatory conduct and sexual or racial harassment shall be regarded as gross misconduct.
  • All new employees will receive an induction which includes awareness training on this policy and both employees and sub-contractors will be required to follow the instructions of the Policy.
  • The company will, as far as is reasonably practicable, make every effort to offer provision for people with disabilities. This can be either by making adoptions to premises and equipment providing improved access facilities, or possibly by making changes to employment terms and conditions, for example, flexible working.
  • The policy records the commitment made by Mint Factory and its objectives in avoiding the unfair treatment of individuals in all its business activities. It also outlines the policy’s priorities, and the arrangements in place to ensure progress
  • This policy is relevant in the following areas:

    • Recruitment, selection, employment practices and terms and conditions

  • Any employee who is of the opinion that he/she has been treated unfairly in any way regarding this policy, has the right to raise the matter with the employer
  • Every employee has a duty to accept his or her personal responsibility in implementing the policy. At the same time, the company recognises that special responsibilities fall on the managers, supervisors and individuals connected with recruitment and administering the employees on a day to day basis.

Enviromental Policy

Mint Factory places great importance on its environment and its vision is to ensure it plays a part in the protection and long-term sustainability of the natural world.

Our aim is to minimize the environmental impact of our product and services, and to achieve continual improvement in environmental performance.

Mint Factory consistently aims to operate in an environmentally responsible manner and reduce its impact on its surroundings.

The main objective of Mint Factory environmental policy is to reduce the amount of waste produced and resources used by the business.

Mint Factory has introduced numerous initiatives to restrict its negative impact on the environment wherever possible. The company’s commitments include:

  • Comply with the relevant requirements of the Environmental Protection Act 1990 and all other domestic legislation concerned with the protection of human and natural.
  • Optimally utilizing resources and re-using materials wherever possible.
  • Implementing recycling initiatives for items that cannot be reduced or re-used.
  • Encouraging more sustainable purchasing practices by purchasing environmentally responsible items wherever practicable.
  • Influencing our suppliers and contractors to encourage them to be environmentally responsible.
  • Communicating the environmental policy to all employees and encouraging their involvement.
  • Use Information and Communication Technology (ICT) to carry out our work and communicate with clients and suppliers – thus avoiding the generation of excessive volumes of paper waste.
  • Encourage our staff to minimize car journeys and use environmentally sustainable transport methods in respect of commuting and business journeys wherever practical.
  • Increase our reputation as an environmentally sensitive and responsible organization amongst our employees, partners, clients and the general public in this generation and the next.
  • Review annually this environmental policy in relation to any new organizational practices, changes in legislation and achievement as regards environmental target set.

Mint Factory’s CEO or Owner is responsible for all the principles laid down in the company environmental policy. The management team and those employed by the company are responsible for fully supporting the policy through their co-operation and participation.

Health and Safety Policy

Mint Factory will comply with its legal duties as stated in the Health & Safety at Work Act 1974. The company regards the attainment of high standards of health and safety as a benefit to both the company and its employees. Everything will be done to prevent personal harm, damage to property and equipment, or environmental contamination and the company aims for the protection of everyone, including the public from any foreseeable danger arising from the daily work activities.

Mint Factory has the responsibility for implementing this policy throughout the business and must ensure that any work, so far as is reasonably practicable is carried out without risk to others.

The company accepts that it has a responsibility for the development and continuation of health and safety standards.

In particular we will:

  • Provide and maintain healthy and safe work facilities
  • Provide adequate control of the health and safety risks arising from our work activities
  • Consult with our employees on matters affecting their health and safety
  • Provide and maintain safe plant and equipment
  • Ensure safe handling and use of dangerous substances
  • Provide information, instruction, and supervision for employees
  • Ensure all employees are competent to do their tasks and give them adequate training
  • Prevent accidents and cases of work related ill-health
  • Maintain safe and healthy working conditions
  • Review and revise this policy as necessary and at regular intervals

All employees and sub-contractors should be aware of the policy and adhere to the company’s rules and procedures on health and safety.

It is also the duty of each employee to take care of their own and other people’s health, safety and welfare and to report any situation which they feel may pose a serious or imminent threat to the well being of themselves or any other person.

In particular employees will be expected to:

  • Work safely and effectively at all times
  • Give notification of any accidents that have resulted in or that could result in personal injury or damage to property
  • Co-operate with supervisors and managers on health and safety matters
  • Not interfere with anything provided to safeguard their health and safety
  • Take reasonable care of their own health and safety
  • Report all health and safety concerns to an appropriate person

Effective promotion of the Company’s Health and Safety Policy requires the contribution of every individual in working to improve and achieve a safe working environment within the Company.

Sustainability Policy

Mint Factory is committed to promoting sustainability issues within the business. Concern for the environment and promoting a broader sustainability agenda are integral to Mint Factory professional activities and the management of the organisation. We aim to follow and to promote good sustainability practice, to reduce the environmental impacts of all our activities and to help our clients/customers and partners to do the same.

Our Sustainability Policy is based upon the following principles:

  • To integrate sustainability considerations into all our business decisions
  • To comply with and exceed where practicable all applicable legislation, regulations and codes of practice
  • To ensure that all staff are fully aware of our Sustainability Policy and are committed to implementing and improving it.
  • To minimise the impact on sustainability of all office and transportation activities.
  • To make clients/customers and suppliers aware of our Sustainability Policy, and encourage them to adopt sound sustainable management practices.
  • To review and to continually strive to improve our sustainability performance.

Travel and Transport

In order to put these principles into practice we will:

  • Take action to reduce emissions of CO2 and other gases which could affect climate change
  • Include the full costs of more sustainable forms of transport in our financial proposals, rather than the least cost option.
  • Avoid physically travelling to meetings etc where alternatives are available and practical, such as using teleconferencing, video conferencing or web cams, and efficient timing of meetings to avoid multiple trips. These options are also often more time efficient, while not sacrificing the benefits of regular contact with clients and partners.
  • Walk, cycle and/or use public transport to attend meetings, site visits etc, apart from in exceptional circumstances where the alternatives are impractical and/or cost prohibitive.
  • Encourage staff/employees to car share for commuting and travelling to and from their workplace/site.
  • Where applicable, consider reducing the need for our staff to travel by supporting alternative working arrangements, including home working etc, and promote the use of public transport by locating our offices in accessible locations.
  • Monitor how efficiently fleet vehicles are being used (if applicable).

Purchase of equipment and consumption of resources

  • Minimise our use of paper and other office consumables, for example by double-siding all paper used, and identifying opportunities to reduce waste.
  • Arrange for the reuse or recycling of office waste, including paper, bottles and cans, computer supplies and redundant equipment.
  • Reduce the energy consumption of office equipment by purchasing energy efficient equipment and good housekeeping.
  • Purchase electricity from a supplier committed to renewable energy. Seek to maximise the proportion from renewable energy sources, whilst also supporting investment in new renewable energy schemes.
  • Monitor use of metered water (if applicable) and invest in a programme of water-saving measures.
  • Introduce procedures to ensure contractors minimise on-site waste and reduce the impact on the environment.
  • Ensure that timber furniture, and any other timber products, are recycled or from well-managed, sustainable sources.
  • Purchase fair-trade and/or organic beverages.
  • Consider the likely life of products and investing in more durable quality products that offer better long-term value.

Working practices

  • Ensure that all employees of the business including any contractors/sub-contractors that we employ, take account of sustainability issues in their advice and work carried out for clients/customers on behalf of the company.
  • Include a copy of our Sustainability Policy in all our proposals to clients/customers.
